Supreme Tarpaulins buys HDPE in kg rolls and sells cut tarpaulins in fixed sizes to businesses and walk-in buyers. We built one system that follows the material from purchase to sale: three ways to receive HDPE stock, roll-to-size make orders uploaded from Excel, square feet and weight calculated automatically, and one-click conversion from quotation to sales order, B2B or B2C invoice. Stock is checked live while billing, and GST is worked out automatically.
The Challenge
- HDPE is bought by weight (kg) but sold as pieces of a fixed size, so stock in kg and in pieces never matched
- Orders arrive as rolls, as a fixed-size parent sheet, or as ready finished goods
- Thousands of items had to be entered for opening stock, transfers and corrections
- The same sale was typed three times: quotation, sales order, invoice
- Invoices were made for items that were not in stock
- B2B needs CGST + SGST or IGST depending on the state; B2C prices already include GST
Our Solution
- Three HDPE stock flows: roll order, fixed-size parent, and fixed-size finished goods
- Total square feet and weight calculated from size and GSM for every finished good
- Make Order: turn a roll into many sizes by uploading an Excel sheet, with a summary of ordered, received, given for cutting and sizes made
- Excel upload in 11 modules: products, purchase orders, HDPE purchase orders, finished goods, make orders, opening stock make orders, opening stock, stock transfer, stock minus, stock plus and sales orders
- Quotation cum Proforma Invoice that converts in one click to a Sales Order, B2B Invoice or B2C Invoice
- Live stock check: when a quantity is entered, the system checks stock at that location and stops the sale if there is not enough
- B2B invoices split CGST + SGST or IGST by state of supply; B2C invoices work taxable value and GST back out of the inclusive price
